Virtual Volunteers

What is a Virtual Volunteer? 

A volunteer who has the opportunity to use technology in place of traditional in-person contact to support our campuses, teachers, and staff in student learning. This technology could include phones, tablets, or computers (internet, desktop apps). 

Opportunities for a Virtual Volunteer

  • Guest Speaker
  • Assist Teachers
    • taking attendance 
    • monitoring or engaging students in Zoom/Google meet groups
    • special event planning (parties, snack coordination, celebrations, etc.)
  • Assist students one-on-one
    • mentoring
    • PALS
    • technology challenges
    • reading
    • tutoring
  • Provide pre-recorded content
    • record 15-20 minute lesson with interactive elements
    • film themself reading a favorite book aloud

Additional Requirements to Interact with Students Virtually

Guest Speaker (speaking to the entire class at once)

  • Teacher/staff member will provide the volunteer with a description (verbal, written, or FlipGrid) outlining the support needed.
  • Teacher/staff member will be responsible for coordinating the meeting times,  involvement, and technology or apps required.

Assist Teachers in Monitoring and Engaging Students (small groups)

  • Teacher/staff member will provide the volunteer with a description (verbal, written, or FlipGrid) to include the support needed.
  • The teacher must have the ability to join the meeting at any time.

Assist Students (one-on-one)

Mentoring
Approved volunteer must be HEROES mentor trained (through SCR)

Parent permission required (E-school or paper)

Submit an ‘about yourself’ Flipgrid (code and instructions will be sent by SCR)

SCR will share Flipgrid video with the mentor coordinator (campus counselor)

Mentor coordinator will match and set up the Zoom session (following guidelines below)
PALS
Approved and selected by high school PALS teacher

Assigned through the campus counselor in the same process as before

The teacher will set up the Zoom/Google Meet with the ability to join the session at any time

Pre-recorded content

  • Teacher/staff member may request an ‘about yourself’ Flipgrid video before assigning a volunteer to assist
  • Teacher/staff member will provide the volunteer with a description (verbal, written, or FlipGrid) outlining the content needed
  • The volunteer will submit the video to the teacher for viewing, approval, and usage

How to Become a Virtual Volunteer?

  1. Complete the online volunteer application (if already approved, moved to step 2)
  2. Select or add ‘Virtual Volunteer” from the Interests area to your profile.
  3. Once approved, a Flipgrid code will be sent to the volunteer requesting a recording with their name, interests, and availability to serve virtually. 
  4. Once the volunteer submits the Flipgrid, School and Community Relations (SCR) will share it with the campus or teacher they are requesting to support.
  5. The teacher or campus will contact the virtual volunteer when they are needed.

Zoom Security Best Practices

  • Require passwords: Create a meeting or webinar password and share it with your students to ensure that only guests with the password are able to join your virtual classroom.
  • Require registration: For both meetings and webinars, you can require registration to see who has signed up to join your class. You can also manually approve each registrant to help evaluate who will attend your class or ask for the volunteer to submit a current photo of themselves either via Flipgrid or email would help the teacher put a name and face together for additional safety measures.
  • Enable Waiting Rooms: Waiting Rooms prevent participants from joining a meeting automatically and are enabled by default for those enrolled in our K-12 program. You can admit each participant individually or all participants at once. You can also allow students who are signed in via your school’s domain to skip the Waiting Room, while attendees that aren’t part of your school’s domain must be admitted individually.
  • Disable screen sharing: For education users, the screen sharing settings are defaulted to allow only the host to share a screen. This prevents attendees from sharing unwanted or distracting content. To allow your attendees to share content, you can adjust this setting or toggle in-meeting sharing in the Security icon
  • Disable private chat: The host has the ability to lock the chat so attendees cannot privately message each other. Students can still chat with the teacher. 
  • Manage participants: If an unwanted guest has joined your class, remove that participant with controls in the Security icon. Get additional insights for managing participants, including the ability to mute participants, stop their video, and restrict renaming, on our support page.
  • Lock your meeting: You can also lock the meeting right from the Security icon to prevent other attendees from joining once the meeting has started. This feature not only keeps out unwanted guests, but it is also great for enforcing a tardiness policy.
